What are Onboarding Surveys?
Onboarding surveys help you understand how new hires are integrating, aligning with company culture, and gaining confidence in their roles during their first weeks and months. By collecting timely feedback, you can improve the onboarding experience, boost retention, and set employees up for long-term success.
Importance of Onboarding Surveys
The onboarding experience is one of the most critical phases in an employee’s journey. The first weeks and months shape how connected new hires feel, how quickly they become productive, and how likely they are to stay long-term. Onboarding surveys give you the visibility you need to make that experience impactful and effective.
Reduce Early Turnover: Spot and address challenges before they lead to disengagement or resignations.
Accelerate Ramp-up: Identify where new hires need support to build confidence and become productive faster.
Strengthen Culture: Ensure employees feel aligned with your mission, values, and ways of working from day one.

How Onboarding Surveys Work
Creating an onboarding survey in Matter is simple and intuitive — similar to tools like Google Forms, Microsoft Forms, or SurveyMonkey — but with powerful automation and deeper insights built in. The main steps include:
Creating an Onboarding Survey
Edit: Set your survey title, description, and sending time (i.e., Days After Hire Date). Note: Hire date is a required member property for this survey to be sent.
Build: Add your questions, choosing types and options. We recommend using Agree/Disagree questions to power your Effectiveness Score.
Wrap Up: Review your survey details, enable notifications, and add rewards for survey completions.
Configuring Onboarding Survey Settings
Before sending any surveys, we'd recommend configuring your onboarding survey settings to control how surveys are delivered, how responses are collected, and how feedback is shared. These settings help maximize participation and ensure the best experience for new hires.
Delivery Timing: Onboarding surveys are sent Monday through Friday during business hours (9 AM – 5 PM local time). If a scheduled time falls outside these hours, the survey will be sent on the next business day.
Survey Anonymity: Choose whether responses are anonymous (hiding employee names to encourage honest feedback) or attributed (including names for easier follow-ups and accountability).
Communication: Surveys are delivered in Slack or Microsoft Teams by default. Enable email delivery as an additional channel to increase participation, and turn on automatic reminders to nudge participants who haven’t responded.
Notifications: Configure which admins receive survey notifications in Slack. Options include new response alerts and a weekly digest of survey activity.
Rewards: Encourage participation by rewarding new hires with Matter coins for completing surveys. Offering rewards has been shown to boost completion rates by up to 35% (e.g., 20 Matter Coins = $2 USD).
Survey Experience
One reason companies see such high participation with Matter is that onboarding surveys are delivered directly inside Slack or Microsoft Teams, and optionally via email. New hires are notified directly, making it almost impossible to miss. Notifications include key details like the survey title, description, anonymity setting, and any coin rewards, ensuring a transparent and engaging experience from the start.
Viewing and Downloading Results
Onboarding survey results are available in real time and can also be exported as Excel files for easy sharing. You can filter responses by user group, segment, or date range to gain deeper insights into the onboarding experience. Matter also provides two powerful metrics to help you measure onboarding success:
Effectiveness Score: A single metric that combines responses to all Agree/Disagree questions across your onboarding surveys. It measures how effectively new hires are integrating, aligning with company culture, and gaining confidence in their roles.
Completion Rate: The percentage of all onboarding surveys sent to new hires that were completed. For example, if 100 surveys were sent and 96 were completed, the completion rate would be 96%. Higher completion rates indicate stronger engagement and more reliable data.
With Matter’s Onboarding Surveys, you get the real-time feedback and actionable insights you need to continuously improve the new hire experience and boost long-term retention.
