Creating a recognition QR code

Learn how to create a QR code for your employees or for customers and guests, choose its channel and reviewers, and set it live in three steps.

Written by Brett Hellman

Admins create Matter QR Codes in the Matter Web App under Recognition Manager, then QR Codes, in three steps: Senders, Details, and Wrap Up. Each code posts recognition from teammates or guests to a Slack or Microsoft Teams channel.

💡 New to QR Codes? Start with the QR Codes Guide. Matter QR Codes are included on the Basic, Pro, and Enterprise plans, and work the same in Slack and Microsoft Teams.

1. Open QR Codes

  1. Open the Matter Web App.

  2. Go to Recognition Manager, then QR Codes.

  3. Click Create Code.

2. Senders: choose who the code is for

  • Your Employees: teammates recognize each other. Kudos post to your channel as soon as the sender confirms who they are, and only people in your Slack or Microsoft Teams workspace can send from the code.

  • Customers and Guests: customers, patients, and visitors thank your team with no app, no sign in, and no email. A reviewer approves every note before it posts.

You can't change who a code is for after you save it. To switch, create a new code.

3. Details: set up the code

Every code has:

  • Code Name: name it after the place it goes, like Front Desk or 4 North Break Room. Each code needs its own name.

  • Question on the Form: the heading people see when they scan. It starts as "Who do you want to recognize?" on employee codes and "Who made your day?" on guest codes. Change it if you like.

  • Where Recognition Posts (Where Approved Recognition Posts on guest codes): the Slack or Microsoft Teams channel the code posts to. Each code posts to one channel, and one channel can have many codes, one per place. If Matter is in one channel in your workspace, every code posts there. On guest codes, guests can only find people in this channel, so pick one that includes everyone they might thank.

Guest codes also have:

  • Reviewers: the people who approve notes from this code. It starts with you. Search for anyone, or under Add All, click Admins or Group Managers. Reviewers don't need to be Matter admins. Add at least one.

  • PII (Personally Identifiable Information) Protection: turn on Keep recognition messages out of Slack notifications if notes might include private details, like health or account information. Reviewers still get a notification, but it doesn't quote the message, and the form asks guests to leave out private details. Approved posts show the message as usual. In Microsoft Teams workspaces, the setting says Teams.

  • Rewards (Pro and Enterprise): choose Allow Coins and enter Most a reviewer can add, from 1 to 100,000 coins for each person thanked (10 Matter Coins = $1 USD). Or choose No Coins for recognition without coins.

Employee codes have no reviewers and no Rewards setting. On Pro and Enterprise, givers can add coins from their own allowance after they confirm who they are.

4. Wrap Up and save

Check the Review Code Details summary and click Save Code. The code is live right away, and you land on its page with:

  • Your Code: Download QR Image (a PNG and an SVG), the code's link (matterapp.com/recognize/ plus 6 characters), Copy Link, and Try It Live.

  • Recent Submissions: until the first one arrives, three steps to get started: Put It Up, Try It Yourself, and Get Ideas.

Your Brand Kit Square Mark shows in the center of every code, or the Matter M if you haven't added one.

5. Try it yourself

Click Try It Live to open the real page. It isn't a preview: kudos you send there really post, and a guest code sends yours to your reviewers first. Test kudos count in the code's stats. If one posts by mistake, an admin can delete it in the Web App, Slack, or Microsoft Teams.

Limits

  • There's no limit on how many codes you can create.

  • Each code name must be different from your other codes. Capital letters don't make a name different.

  • Messages are 3 to 600 characters.

  • Most a reviewer can add is 1 to 100,000 coins for each person thanked (Pro and Enterprise).

FAQs

Q: Can I change who a code is for after I save it?

No. Create a new code instead. Everything on the Details step can change with Edit Code. Learn how in Managing your recognition QR codes.

Q: Can I save a code as a draft?

No. A code goes live when you click Save Code. If you close the steps before that, nothing is saved.

Q: Why can't I add coins?

Adding Matter Coins requires Rewards, which is on the Pro and Enterprise plans. On Basic, codes post recognition without coins.

Q: Will editing a code change its QR code or link?

No. The link and QR code never change, so printed copies keep working.

Q: Can several codes post to the same channel?

Yes. Make one code for each place, like each break room or front desk, and point them all at one channel. Each code shows its own scans and recognition.
