Keeping private details out of guest kudos

Learn how to keep private details, like health or account information, out of guest kudos and the Slack or Microsoft Teams messages reviewers get.

Written by Brett Hellman

Admins can turn on a setting in Matter QR Codes for guests that keeps recognition messages out of Slack and Microsoft Teams notifications, and a reviewer approves every guest note before it posts. Together they help keep private details, like health or account information, out of recognition.

šŸ’” New to QR Codes? Start with the QR Codes Guide. Matter is not a place for patient health information, so these tools help you catch it before anything posts.

What guests share

  • Matter never asks guests for an email or an account.

  • Signing their name is optional. Unsigned notes show as "Guest Ā· Not signed".

  • When guests look for someone to thank, they see names only, with no photos, job titles, or emails. See How guests thank your team with a QR code.

Turn on the private details setting

  1. Create a guest code, or click the ā‹® menu (three dots) on one and choose Edit Code.

  2. On Details, under PII (Personally Identifiable Information) Protection, turn on Keep recognition messages out of Slack notifications. In Microsoft Teams workspaces, the setting says Teams.

  3. On Wrap Up, click Save Code, or Save Changes if you're editing.

It's recommended for any code where notes might include private details, like a patient's or customer's name.

What changes when it's on

  • For guests: the form adds "Please leave out private details, like health, financial or account information."

  • For reviewers: the message from Matter doesn't quote the note. It says "Recognition message kept in Matter for privacy. Open it to read and review.", and Open in Matter opens it.

  • In the review window: reviewers see "Check for private details, like health or account information, before it posts."

  • After a decision: the updated message from Matter still doesn't quote the note.

Once a note is approved, the post in the channel shows the message as usual, so reviewers should take out anything that shouldn't be public.

What reviewers can do

  • Edit the wording before it posts.

  • Check flags: Matter flags phone numbers, email addresses, links, and profanity.

  • Decline the note and pick Names another patient or customer as the reason. Nothing posts, and the guest isn't notified.

FAQs

Q: Is the message hidden after it's approved?

No. Approved notes post to the channel with the message, like any kudos. The setting keeps the message out of notifications while the note is being reviewed.

Q: Do guests have to sign their name?

No. Signing is optional, and Matter never asks for an email.

Q: Can a reviewer remove private details from a note?

Yes. Reviewers can edit the wording before they approve it, or decline it.

Q: Does the setting work in Microsoft Teams?

Yes. It works the same way in Teams workspaces, where it says Teams instead of Slack.

Q: Do employee codes have this setting?

No. It's only on guest codes, where notes come from outside your company. Turn it on wherever guest notes might mention patients or customer accounts.
