How guests thank your team with a QR code

See what guests see when they scan your QR code: no app, no sign in, no email. Learn how they find who to thank, write a message, and sign it.

With Matter QR Codes, customers, patients, and visitors thank your team by scanning a guest code or opening its link. There's no app, no sign in, and no email, and a reviewer approves every note before it posts to Slack or Microsoft Teams.

💡 New to QR Codes? Start with the QR Codes Guide. Guest codes are included on the Basic, Pro, and Enterprise plans. To set one up, see Creating a recognition QR code.

What guests see

The page carries your brand: your logo, your Brand Color, your company name, and the code's location. The heading is the question you chose, like "Who made your day?". Guests fill in:

  • For: who they want to thank.

  • Message: what that person did, from 3 to 600 characters.

  • Sign It (Optional): their name, so the person they thank knows who it's from.

Then they tap Send Thanks.

Finding the right person

Guests start typing a name. After 3 letters, up to 3 names show from the code's channel. Guests see names only, with no photos, job titles, or emails. They can pick more than one person.

If no name matches, a guest can type a description instead, like "The tall nurse on nights". The page says "No match. Send it anyway and the team will find them." A reviewer then picks the right person before approving.

Signing is optional

Matter never asks guests for an email or an account. If a guest signs, reviewers and the team see their name, like "Linda Park · Guest". If not, the note shows as "Guest · Not signed".

After they tap Send Thanks

Guests see Thanks Submitted, with a preview of their note and its status, Waiting for Approval. They can tap Thank Someone Else. Matter doesn't contact guests after that.

Every note is reviewed

Nothing from a guest code posts on its own. Each note goes to the code's reviewers in Slack or Microsoft Teams and in the Matter Web App. They can fix who it's for, edit the wording, add coins on Pro and Enterprise plans, and approve or decline it.

How approved notes post

Approved notes post to the code's channel like any Matter kudos, and each person thanked is mentioned. The sender line shows the guest: "Linda Park · Guest gave kudos to @Maria Gonzales", or "A guest gave kudos to @Maria Gonzales" when the guest didn't sign.

Private details

If the code's private details setting is on, the form adds: "Please leave out private details, like health, financial or account information."

FAQs

Q: Can a guest thank more than one person?

Yes. A guest can pick several people on one note. Each person is mentioned when it posts.

Q: Why can't a guest find someone's name?

Guests only see people in the code's channel. Add that person to the channel, or let the guest type a description and the reviewer will pick who they mean.

Q: Can we reply to a guest?

No. Matter doesn't ask guests for an email, so there's no way to reach them. A signed note shows the guest's name, so the team knows who to thank in person.

Q: Can guests be thanked with a QR code?

No. Only people in your Slack or Microsoft Teams workspace can be recognized.

Q: What happens if an employee scans a guest code?

An employee who scans a guest code gets the guest form and shows as Guest. Employees give kudos as themselves with an employee code. Learn more in Giving kudos with an employee QR code.

Q: What does "This Code Is Turned Off" mean?

The code was paused or deleted. The page asks the guest to tell a team member instead.

Q: Why does the page say there are too many notes from this device?

To stop spam, each phone can send up to 5 notes from a code each hour, and each code takes up to 50 notes an hour. Try again in an hour.
