Giving kudos with an employee QR code

Learn how to give kudos by scanning an employee QR code: write your message, then confirm who you are in Slack, Microsoft Teams, or by email.

Written by Brett Hellman

Matter QR Codes let teammates give kudos by scanning a printed code or opening its link, with no app to download. You write the kudos first, then confirm who you are in Slack, Microsoft Teams, or by email, and it posts to your team's channel.

💡 New to QR Codes? Start with the QR Codes Guide. Your Matter admin sets up each employee code. To set one up, see Creating a recognition QR code.

Who can use an employee code

Anyone in your Slack or Microsoft Teams workspace can give kudos from an employee code, on a work phone or a personal one. You can recognize anyone in your workspace, not only people in the code's channel.

Customers, patients, and visitors use a guest code instead. Learn more in How guests thank your team with a QR code.

1. Write your kudos

  1. Scan the code with your phone camera, or open its link.

  2. Under For, start typing a name and pick one or more people. Names show after 3 letters, up to 3 at a time. You can't pick yourself.

  3. Pick a kudos Type.

  4. Write your Message, from 3 to 600 characters.

  5. Tap Continue.

The page shows your company's brand and the channel the kudos posts to, like "Posts to #team-radiology".

2. Pick your name

On Who Is This From?, start typing your name under Your Name, pick it, and tap Continue. Matter then asks you to confirm in Slack or Microsoft Teams, so nobody can post as you.

3. Confirm in Slack or Microsoft Teams

Matter sends you a message: "You scanned the Radiology Team Room code. Ready to send this?"

  1. Tap Open Slack (or Open Teams) on your phone.

  2. In the message from Matter, tap Review. The Give Kudos window opens with your kudos filled in.

  3. Change the people, type, or message if you like. On Pro and Enterprise plans, add coins from your allowance under Add coins.

  4. Tap Send.

Only you can send it, and the message expires in 24 hours. If you didn't scan the code, tap Not Me and nothing posts.

Confirm by email instead

Slack or Microsoft Teams not on your phone? Tap Email Me a Link. Matter emails the address on your Matter profile.

  1. Open the email from Matter with the subject "[your first name], your kudos is ready to send" and tap Review Kudos.

  2. On Send It?, add coins under Coins per Person (Optional) if you like.

  3. Tap Send It.

The link works once, for 24 hours. Send a New Link sends a fresh one and the old link stops working.

4. Your kudos posts

Your kudos posts to the code's channel as you, just like kudos sent in Slack or Microsoft Teams. The page shows Kudos Sent with who it went to, any coins, and View in Slack (or View in Teams).

If someone you picked isn't in the channel, it works the same as giving kudos in Slack or Microsoft Teams: in a public channel they're added, and in a private channel the kudos still posts and no one is added.

Next time on this phone

After you confirm once, your phone is remembered for 30 days. The form shows "Posting as" with your name, on Pro and Enterprise plans you can add coins right on the form, and Send Kudos posts straight away. Tap Switch Account if it's not you.

See where your kudos stands

Open the page again any time to see what happened:

  • Kudos Sent: it posted.

  • Not Sent Yet: it's waiting for you in Slack or Microsoft Teams. Tap Send It Again for a fresh message, or Email Me a Link.

  • Who Is This From?: someone tapped Not Me. Pick your name again.

  • This Kudos Expired: it wasn't sent within 24 hours. Your message is saved, so tap Start Again to send it in a few taps.

Limits

  • Messages are 3 to 600 characters.

  • The confirm message and the email link expire after 24 hours, and the email link works once.

  • Send It Again works 3 times an hour. After that, the page tells you when you can send it again.

  • Coins come from your own allowance, on Pro and Enterprise plans.

FAQs

Q: I scanned the code and nothing posted. Why?

Nothing posts until you confirm. Open Slack or Microsoft Teams, tap Review on the message from Matter, then tap Send. Or tap Email Me a Link on the page.

Q: Do I need an app or a company email?

No. You need to be in your company's Slack or Microsoft Teams workspace. There's nothing to install, and a personal phone works.

Q: Why did my email link stop working?

Email links work once, for 24 hours. Open the page again and tap Send a New Link.

Q: What if the page shows someone else's name?

Tap Switch Account on the form. On the Not Sent Yet page, tap Pick Your Name Again. If you got a confirm message for kudos you didn't write, tap Not Me and nothing posts.

Q: Can I add coins?

Yes, on Pro and Enterprise plans. You add coins when you confirm, from your own coin allowance.

Q: What does "This Code Is Turned Off" mean?

An admin paused or deleted the code. You can still give kudos in Slack or Microsoft Teams. Learn how in Sending kudos in Slack or Sending kudos in Microsoft Teams.
